What You Will Do

Gannett Fleming, Inc. is looking for a driven and talented Project Accountant or Project Manager Assistant/PMA to join our Raleigh, NC office. We rely on our project management assistants to aid and advance our team to produce high quality results for our clients. Join our Journey!

As a Project Management Assistant, you will need to be a dynamic communicator with the ability to multi-task efficiently and effectively. You must be able to organize projects and materials, in addition to having strong business, financial, computer, and writing skills.

Our team will need you to serve as an assistant to our project managers and as a database manager. You will interface with our clients, subcontractors and vendors; reviewing and processing requests for information, payments, correspondence, daily reports and other project documents.

Specific tasks include:

  • Assist Project Manager in project accounting
  • Assist Project Manager in generation of subcontracts and purchase orders
  • Assist Project Manager in project closeout accounting and documentation
  • Prepare reports using GF’s accounting system (BST) and GF’s management system (Procore) as requested by management
  • Monitor contractor compliance with signed contracts and insurances
  • Maintain compliance with various state DOT prequalifications
  • Read, comprehend, and understand client contracts for compliance with corporate requirements and project set-up
  • Create/review the Project Authorization-Work Breakdown Structure (PA/WBS) for accuracy and verification that the data shown reflects the contract terms and authorizations, and complies with the Revenue Decision Making Matrix for budget entry for new projects and project revisions
  • Input new and revised project data such as budgets, phase/task/org authorizations, and client updates into our Project Accounting software (BST).
  • Analyze and research Work-in-Process and Project Analysis
  • Internal and external audit liaison assistance; maintain project QMS checklists
  • Attend meetings, develop and distribute summary minutes
  • Develop/assist with invoice and progress report development
  • Attend, participate in, and keep record of Project Principal Reviews
  • Proactively support internal clients (team members) with project activities, and support individual business lines as needed in project-related activities

Qualifications

Minimum Qualifications

  • At least 5 years of relevant work experience in project accounting with A/E/C firms
  • Proficient with Microsoft Office. Must be proficient in MS Excel and MS Word
  • Strong financial background, including project accounting or cost accounting 
  • Must have excellent computer skills and have an aptitude for mathematics
  • High levels of accuracy
  • Ability to thrive in a detail-oriented, deadline-driven environment is imperative
  • Strong written/verbal communication and organizational skills.
  • Must have the ability to work independently and within a team environment to meet deadlines

Preferred Qualifications

  • A bachelor's degree in accounting or a related field
  • Construction or Engineering administrative experience including estimating, bidding, contract preparation, scheduling, cost control, etc.
  • Familiarity with contracting software, such as, ProCore, AutoCAD, P6, Timberline, etc.
  • Proficiency with accounting systems highly desired - specifically BST or similar
