Responsibilities:

Our Content Management Team is seeking an Administrative Assistant in our Camp Hill, PA headquarters. Join our Journey! 

The Administrative Assistant supports the mission to maintain, improve, and ensure the quality of content in corporate project systems in support of all firm business lines and regions. The Administrative Assistant will assist across Content Management Team (CMT) initiatives, focusing primarily on inputting content contained in corporate databases and systems and supporting database system improvements initiatives. Systems encompassed by this role include but are not limited to corporate resume system, project data system, IntraNet, and all associated subsets (e.g., the Help Desk), as well as any modified system and/or planned system for the future. This position reports to the Content Manager.

Principal Responsibilities and essential functions
  • Coordinates and inputs project description, corporate resume, employee credential, and related content for corporate systems and databases; inputs content with speed, accuracy, and attention to detail
  • Reviews, checks, and corrects content and supporting documents
  • Researches; compiles information; and prepares various reports, documents, and correspondence using data extracted from both external and internal sources, including a variety of databases and data sources
  • Performs research/fact verification and incorporates into daily assignments
  • Assists with the development and implementation of standards, procedures, and guidelines to support operational processes
  • Performs various routine and ad hoc clerical duties in support of team deliverables as assigned
  • Responds to queries from Gannett Fleming staff
  • Facilitates and attends meetings
  • Supports efforts to develop and implement content strategies and associated systems/system improvements to increase efficiencies across proposal operations and support and extend marketing and business development initiatives; support tasks include but are not limited to identifying and recommending potential system improvements and supporting system testing efforts
  • Participates in required training and knowledge-sharing activities and demonstrates progressive ability over time to incorporate best practices into daily work assignments
  • Performs self-check of work products and coordinates independent quality control review in accordance with internal quality procedures
  • Provides MS Word/Excel/Access formatting or other support as requested

Job Requirements

  • Minimum 2 years of relevant experience in database entry and/or administrative or clerical support. Familiarity working with databases in a multi-tiered complex systems environment helpful.
  • Proficiency in Microsoft Office applications. Desirable skills: MS Word and/or Excel certification, MS Access experience, and MS Outlook proficiency.
  • Proficiency in Adobe Acrobat
  • Self-motivated/self-starter
  • Ability to perform multiple tasks concurrently while meeting quality objectives and deadlines
  • Ability to work both collaboratively and independently
  • Ability to make decisions appropriate to tasks assigned
  • Attention to detail is essential
  • Effective problem-solving skills
